Administrative & Development Coordinator

The Administrative & Development Coordinator plays a pivotal role in ensuring the smooth operation of the nonprofit Concord Free Public Library Corporation (CFPLCorp.org), while providing support for fundraising, stewardship, and events.

This position requires an organized, detail-oriented individual who can balance administrative workflows, database management, board logistics, and donor stewardship. The ideal candidate is passionate about libraries and thrives in a collaborative nonprofit environment.

Key Responsibilities

Office Administration

  • Manage daily office functions, including handling mail, answering general inquiries, and ordering supplies.
  • Oversee calendars, meeting room reservations, and office logistics.

Donor & Fundraising Support

  • Maintain accurate and confidential donor records, process contributions, and prepare gift acknowledgments, reports, and mailing lists.
  • Support annual appeals, donor communications, stewardship activities, and special fundraising initiatives.

Events & Communications

  • Assist with planning and coordinating fundraising events and donor receptions, including vendors and event logistics.
  • Prepare guest lists, signage, name tags, and other event materials, and assist with post-event follow-up.
  • Support communications, including emails, newsletters, invitations, marketing materials, mailing lists, and website updates.

Organizational Support

  • Support preparation of materials and reports for the Board of Trustees and its committees.
  • Assist with invoice processing and expense tracking for Buildings & Grounds Committee.
  • Provide administrative support for Library Corporation scholarship programs.

Qualifications & Skills

  • Experience: 1–3 years of experience in an administrative support or development role, preferably within a nonprofit organization.
  • Organizational Skills: Proven ability to manage multiple projects simultaneously, meet tight deadlines, and maintain meticulous attention to detail.
  • Communication Skills: Strong written and verbal communication skills.
  • Technical Proficiency: Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Experience using a fundraising database is a plus.
  • Discretion: Ability to handle confidential donor and financial information with high integrity and discretion.

Working Conditions and Physical Requirements

  • This position is in-person. The Administrative Coordinator will be provided office space and a computer.
  • Occasional evening or weekend hours may be required for fundraising events and board meetings.
  • Ability to sit at a desk for long periods of time and lift and carry up to 25 lbs for event setup and office supplies.
  • Standing, walking, ability to climb stairs and travel between library sites is required.
  • A valid motor vehicle operator’s license is required.
  • The Library Corporation requires a satisfactory CORI check.

Reports To: Director of Development and President of the Library Corporation

Hours: Part-time, 20 hours/week

Compensation: Hourly rate, $30/hour
